Who I am
The A-Level Chemistry Tutor gives one-to-one online A-level Chemistry lessons. It is run by Kofi, a sole trader in England. The A-Level Chemistry Tutor decides how the details below are used, so it is the "data controller" under UK data protection law. Contact me about anything on this page at thealevelchemistrytutor796@gmail.com.
What I collect and why
- Signing in to book. To book, move or cancel a lesson on this site you sign in with your Google account. Google tells me your name, your email address and that the address is verified. I never see your password or anything else in your Google account. I use your email address to know which bookings are yours (lawful basis: contract).
- Booking a lesson or a free trial. The booking form asks who is booking, the student's first name, exam board, school year, current predicted grade, target grade, the topics or exams to work on and, if you give it, a parent or guardian's email. I use the answers to arrange, plan and teach the lessons (contract). They are kept in a Google Sheet in my Google account. Each booking also becomes an event in my Google Calendar, with a Google Meet link and your answers in its description. You, and the parent or guardian you name, are invited to it, so Google adds it to your calendar and emails you the invitation. Your confirmation and the reminders 24 hours and 1 hour before each lesson are sent from my Gmail.
- One free trial per family. I record which email addresses have had a free trial. When I delete a family's other details (see below), I keep only a scrambled (hashed) form of the email address, so the free trial stays one per family (legitimate interests: keeping free trials fair).
- Text reminders, only if you ask for them. If you tick "Text me reminders", I keep your UK mobile number and Twilio sends the texts, 24 hours and 1 hour before each lesson (consent). Every text has a link to stop them. You can also stop them on the Your bookings page or by emailing me. When you stop them, I delete the number from my records.
- Payments. Stripe takes payment for single lessons and the 10-lesson pack, on Stripe's own payment page. Stripe collects your email address, name and card or billing details. I see everything except your full card details. I attach the booking reference and the lesson time to the payment, so I can match payments to lessons and give refunds (contract).
- Lessons. Lessons run on Google Meet. Notes and homework go in my Google Classroom class. When the student joins it, I see their name, email address and the work they hand in (contract).
- Enquiries through my Facebook or Instagram form. If you fill in the form on one of my Facebook or Instagram adverts, Meta sends me what you enter: your first name, your email address and, if you give it, your mobile number, plus your answers about the exam board, school year, predicted grade, target grade and the evenings that suit. I use them only to reply to you and, if you want, to arrange lessons (contract, because you asked me about lessons). I won't add you to a mailing list; the only emails beyond my reply are the optional ones you can tick for with the free cheat sheets (next item).
- Free cheat sheets. If you ask for my free A-level Chemistry cheat sheets (on this site or through a Facebook or Instagram advert), I collect your first name and email address, whether you ticked the box for occasional emails, the wording you agreed to, the time, and which page or advert you came from. I use these to send you the sheets you asked for (contract, because you asked for them). If you ticked the box, I also send occasional emails with A-level Chemistry tips and news about my tutoring (your consent, under UK GDPR and the Privacy and Electronic Communications Regulations). You can stop those at any time with the link in every email, or by replying "unsubscribe". The details are kept in my private Google Sheet and sent through my Gmail account; Google processes them for me, and may do so outside the UK under safeguards approved for UK data.
- Your 14-day cancellation choice. When you pay for a lesson or a pack, the booking page asks you to confirm that you'd like lessons to start within 14 days. I keep that tick and the time you gave it with your booking, and Stripe keeps a copy with the payment, so I can show which lessons you asked for if you cancel within 14 days (legal obligation, under the Consumer Contracts Regulations).
- Welcome email. After your first payment I send one welcome email with a link to the welcome pack (contract).
- Google Classroom. If you join my Google Classroom for homework and lesson notes, Google shows your name and email address to me. I set up one class per student, so other students can't see your details. Homework you upload stays in that class (contract).
- Lesson recordings. Lessons are not recorded unless the student, and a parent or guardian for under-18s, agree in writing beforehand. A recording is shared only with that student in their Classroom class and deleted at the end of the school year, or sooner if you ask (consent, which you can withdraw at any time).
- Emails. What you write to me and my replies (contract).
- Records for tax. Payment records, which HMRC requires me to keep (legal obligation).
- Which adverts work. If you reach this site from one of my adverts, the booking buttons add a short label, such as
meta_leadform, to your booking or payment. It tells me an advert led to the booking. It does not identify you to Google, Meta or anyone else (legitimate interests: knowing which adverts are worth paying for). - Cookies and browser storage. This site sets no cookies at the moment. If that changes, a banner will ask you first. See Cookies below (consent). While you book, the booking pages keep your Google sign-in in your browser's session storage, which is cleared when you close the tab. The "Sign in with Google" button is loaded from Google and may use Google's own cookies to sign you in. Stripe's payment pages use Stripe's own cookies to work.
- Running the website and the booking system. Vercel hosts the site and briefly logs IP addresses and browser details for security. The fonts load from Google Fonts, which receives your IP address. The booking system keeps a short log of what happened (for example "booked" or "cancelled", with the email address) so I can fix problems (legitimate interests: a working, secure website).
Students under 18
My Facebook and Instagram adverts are shown only to adults (18 and over). If the student is under 16, a parent or guardian should book, signing in with their own Google account. Students aged 16 or 17 may book for themselves, but must give a parent or guardian's email address: that parent is invited to every lesson and gets a copy of every confirmation and reminder. I only ask for what I need to teach: the student's first name and what they're studying. I invite the student to Google Classroom using the email address you give me.
Who else handles your details
Only the services I use to run lessons:
- Google: sign-in, Gmail, Google Calendar, Google Meet, Google Classroom, and the Google Sheet and Google Apps Script that run the bookings. Also, only if you accept cookies, Google Ads.
- Stripe: payments and refunds.
- Twilio: text reminders, only if you ask for them.
- Meta: Facebook and Instagram adverts and the enquiry form. Meta keeps the form answers in its systems so I can download them.
- Vercel: website hosting.
Google, Meta and Stripe also act for themselves on their own platforms. See Google's privacy policy, Stripe's privacy policy, Twilio's privacy notice and Meta's privacy policy. Some of these services process data outside the UK, for example in the US, under safeguards approved for UK data.
How long I keep it
- Bookings and your answers in my booking Sheet: deleted automatically 12 months after each lesson.
- Calendar events, emails, Google Classroom posts and lesson notes: up to 12 months after our last lesson, then deleted.
- Your account record (email address, name, pack lessons left): its details are deleted 12 months after your last lesson, once no pack lessons are left. Only the scrambled email address and whether the free trial was used are kept.
- Mobile numbers for text reminders: deleted when you stop the texts, otherwise with the booking.
- Unfinished payments (a time held while you were paying): 30 days. The booking system's log: 90 days.
- Lesson recordings: deleted at the end of the school year they were made in, or sooner on request.
- Enquiries that don't lead to lessons: deleted within 6 months of your last message.
- Payment records: as long as HMRC requires (at least 5 years after the 31 January tax-return deadline for that year).
- Your cookie choice, if the cookie banner is ever switched on: 6 months, then the site asks again.
Cookies
This site sets no cookies and shows no cookie banner at the moment. If I later measure Google Ads bookings, a banner will ask first, and nothing loads unless you choose Accept. If you accept, the site loads the Google Ads tag. It uses the cookies below to tell me when someone who clicked one of my adverts goes on to book. It is not used for personalised advertising or remarketing. If you reject, the Google Ads tag never loads.
| Name | What it does | Lasts |
|---|---|---|
mm-consent | Browser storage set by this site: remembers whether you accepted or rejected | 6 months |
_gcl_au | Google Ads cookie, only after Accept: links ad clicks to bookings | 90 days |
_gcl_aw | Google Ads cookie, only after Accept: stores the ID of the ad you clicked | 90 days |
When a booking is recorded, Google may also read or set its own cookies on its own domains (for example googleadservices.com). Google's use is covered by Google's advertising policy.
Change your mind at any time: Cookie settings. Rejecting deletes this site's Google Ads cookies.
Your rights
You can ask to see, correct or delete your details, ask me to stop or limit using them, ask for a copy to take elsewhere, and withdraw consent for cookies at any time. Email thealevelchemistrytutor796@gmail.com and I'll reply within one month.
If you're unhappy with how I've handled your details, please tell me first. You can also complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint or 0303 123 1113.
